At Willow Academy, we recognize the importance of documenting children’s experiences and milestones. We use photos and videos for educational, communication, and promotional purposes. To ensure the safety and privacy of all children, we have established the following photo and video policy.

Photos and videos may be taken for:

• Sharing daily activities and milestones with families (e.g., via secure apps or newsletters)
   
• Classroom displays and educational documentation
   
• Marketing materials (e.g., brochures, website, social media) — only with specific written consent
   

• All parents/guardians must sign a Photo & Video Release Form upon enrollment.
   
• The release form allows parents to choose:
   
  • Full consent (educational + marketing + family updates)
     
  • Limited consent (family updates via secure app only)
     
  • No consent (no photos/videos of the child under any circumstances)

• A printable copy of the photo/video consent form can be found under our printable forms section.
   

• Photos and videos will never be shared publicly without prior written consent.
   
• Children will never be identified by full name in public-facing materials.
   
• Media files are stored securely and accessed only by authorized staff.
   

• We use a secure, password-protected app called Brightwheel to share media with families.
   
• Photos/videos shared via this method will include only the enrolled families with proper access credentials.
   

• Parents, visitors, and volunteers are not permitted to take photos or videos of children at the daycare unless previously authorized by the administration and other families involved.
   

• Parents/guardians may change or revoke their consent at any time by providing a written request.
